A leading Facilities Management company based in Jordan is currently looking for hiring a talented HR & Admin Assistant,
Job description
• Scan and maintain all HR related documents and save them in HR drive. Responsible for accuracy of all scanned documents.
• Follow up on completion of newly hired personnel’s documentations i.e. Photographs, passport & employment visa copies, educational certificates etc.
• Ensure prior preparation of new employee files according to the personal file check list.
• Print and issue Company IDs to new employees before they are deployed at sites.
• Issue permanent Company IDs to employees once residence visa is received.
• Maintain and update all personnel files by organizing and reconciling with the checklist.
• Maintain and update HR filing.
• copies of passport, photo, warning letters, contract etc.
• Provide copies of passports and visas if required by sites.
• Coordinate with Site Administrators to ensure their requirements are attended to in a timely manner.
• Maintain proper filing for all apartments, maintenance and annual newspaper contracts.
• Verify and update the job description templates for all positions.
• Receive, review, sort, organize, file and format resumes when received.
• Ensure updating the HR forms & update HR public folder as per QA standards.
• Ensure HR policies & procedures are always implemented.
• Assist in corresponding and organizing trainings schedules when required
• Provide assistance to operations team during tender processing.
• Ensure the check list is prepared when due.
• Other duties as assigned.
• Prepare Offer Letters to selected candidates
• Check the timecards against the entries performed from the site for the attendance.
Qualifications
· An ideal candidate must hold a bachelor’s degree
· 1 year of experience of relevant experience
· Must possess strong communication skills in English both written and spoken.
