Job Overview:
The Purchase Executive will be responsible for sourcing, negotiating, and procuring goods and services to meet the company’s operational needs. This includes supplier selection, contract negotiation, and ensuring the timely delivery of materials while maintaining the highest standards of quality and cost-efficiency.
Key Responsibilities:
1. Sourcing and Procurement:
• Identify and source reliable suppliers based on the company’s requirements.
• Evaluate suppliers based on price, quality, and delivery speed.
• Maintain strong supplier relationships and negotiate contracts to achieve cost savings.
2. Purchase Orders:
• Prepare and process purchase orders and requisitions for materials, goods, and services.
• Track orders and ensure timely delivery.
• Address any issues related to quality, delivery, or pricing.
3. Inventory Management:
• Collaborate with the inventory team to ensure sufficient stock levels.
• Monitor inventory levels and forecast demand to prevent shortages or overstocking.
4. Vendor Management:
• Build and maintain strong relationships with key suppliers.
• Conduct supplier evaluations and performance reviews periodically.
• Negotiate favorable terms and pricing agreements with vendors.
5. Cost Analysis and Budgeting:
• Analyze market trends to identify purchasing opportunities.
• Work closely with the finance team to manage purchasing budgets and cost reduction strategies.
6. Compliance and Documentation:
• Ensure that all purchases comply with the company’s procurement policies and procedures.
• Maintain accurate records of purchases, suppliers, and pricing.
• Ensure all relevant procurement documents are updated and archived appropriately.
7. Coordination and Communication:
• Liaise with other departments, including production, sales, and finance, to determine purchasing needs.
• Communicate effectively with suppliers and internal stakeholders to resolve issues and facilitate smooth operations.
Key Qualifications:
• Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
• Proven experience in purchasing, procurement, or supply chain management (minimum 2-3 years).
• Strong negotiation and communication skills.
• Proficiency in procurement software and MS Office (Excel, Word, PowerPoint).
• Ability to work independently and within a team in a fast-paced environment.
• Excellent analytical skills and attention to detail.
• Strong organizational and time management skills.
Preferred:
• Experience with ERP systems.
• Certification in Supply Chain Management or Procurement (e.g., CIPS, CPP).
