Job Description

The role of the technical HR assistant - IBVs - is to support the effective operation of the NRC HR unit. The HR Technical Assistant - IBVs - will be responsible for maintaining the IBVs Database, issuing volunteer agreements, inductions, work injuries, payment, attendance system, supporting the recruitment process and the files archiving tasks.

Generic responsibilities (max 10)

  • Adhere to NRC policies, tools, handbooks, and guidelines.
  • Responsible for organizing and delivery of tasks in line with priorities and standards.
  • Develop and maintain knowledge of the specialist area of work in which technical assistance and support is being provided, in order to be most effective in supporting the team.
  • Use initiative in day-to-day problem solving in line with agreed procedures, priorities and standards for the area of work.
  • Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards & principles within NRC and amongst beneficiaries served by NRC.

Specific responsibilities

  • Responsible for the recruitment process of IBVs and issuing their volunteering agreement package this includes advertising & registration, longlisting, testing, checking eligibility, documenting, filling, and following up on their personal and recruitment files and tracker.
  • Responsible for issuing ID and NRC emails for volunteers and delivering NRC visibility.
  • Responsible for the induction and training sessions for the new volunteers when requested.
  • Responsible for following up on the personal files for all volunteers under the HR - IBV unit and filing and archive all IBV relevant documents soft and hard copies.
  • Responsible for maintaining accurate data for all volunteers under the HR - IBV unit, this includes the E-wallet data for monthly salary.
  • Support in exporting payment information monthly.
  • Ensure submitting the volunteers WDPs and achieving them in a timely manner.
  • Regular follow up and reporting on IBVs dropouts and agreements extensions with relevant NRC and UNHCR staff.
  • Following up on IBVs leave trackers with programs and ensuring that that all relevant IBV SOPs are implemented and adhered to.
  • Support HR - IBV unit in building trust and safe environment for IBV to be able to support them in a professional manner.
  • Represent NRC in relevant meetings upon request.
  • Focal point for volunteers in camps.
  • Support in HR Personnel for the Camps national staff when needed.
  • Other tasks assigned by the line manager.
